How We Work
When engaging with new clients, we want to ensure we can deliver results, that support your business objectives and desired outcomes. Our approach is very collaborative throughout the website development and digital marketing process. We understand that selecting a website development and digital marketing partner requires time and not all are a fit for your project or your organization’s culture. The following is the process we follow, with all projects, to help you determine if we are a fit for you.
1. Project Scope & Objectives
We start each project by clearly understanding of the goals, desired outcomes, and target audience of our client. Having clearly defined project scope, objectives and alignment, from the beginning, sets expectations for us both.
2. Timeline & Deadlines
It is important that our clients meet agreed upon timelines and deadlines. Missing deadlines and timelines can or will impact your project delivery. Delays in providing content, feedback, or approvals, can significantly impact the project’s potential launch date. At the beginning of the project, we’ll outline the typical phases and expected turnaround times for reviews and revisions. Your prompt responsiveness, during these stages, will help us maintain the established schedule.
3. Communications & Collaboration
Open and frequent communication is key to keeping a project on schedule and alignment. We prefer to use email, video conferencing (Zoom, Google Talk, etc), phone, and Dropbox, for project-related communications. We’re open to discussing other methods, that work best for you. If you currently use specific communication tools in your business, where we can be added as users, we open to using those tools and applications. We expect clear and prompt feedback or approvals when requested. This level of engagement ensures that we’re aligned and making progress towards the project delivery time frame.
4. Content & Assets
Our clients are responsible for providing content for their website, including text, images, videos, and any other assets required. Providing content in a timely manner, will avoid delays in the project timeline. Please note, we work with specific file formats and standards for content and assets, and we’ll provide you with guidelines to ensure compatibility. High resolution images in formats, such as JPEG, will be optimized to reduce file size, to ensure faster page load times. If you need us to create additional branding media, acquire new media content, or provide content development, such as copywriting, those services can be provided at additional cost.
5. Feedback & Approval Process
Throughout the project, we’ll present content and designs for your review and feedback. Timely review and feedback ensures that we’re on the same page before moving forward. Our standard project scope includes three rounds of revisions. Additional revisions, beyond this limit, may incur additional charges, which we’ll discuss with you in advance.
6. Change Request Process
We understand that project requirements may evolve, as we learn more and new needs are identified. If you need to request changes or modifications to the agreed upon scope, we have a formal change request process in place. Significant changes may require adjustments to the project timeline and budget. All changes must be formally approved by both parties before implementation. Change request will be added, as addendums, to the original project agreement.
7. Payment Terms & Milestones
Our payment terms are structured to ensure a smooth and fair process for both parties. We typically require 50% of the agreed upon project cost to begin work and the remaining 50% upon project completion. Large projects may divide the final 50% payment into smaller 25% milestone payments.
8. Intellectual Property & Ownership
Upon project completion and final payment, the ownership and usage rights for the website design, code, and content will be transferred to you. Be aware that any third-party assets, components or plug-ins used in the project may be subject to specific restrictions or recurring license payments. We will notify you of any known licensing requirements and we’ll discuss we will discuss them with you.
9. Post-Launch Support & Maintenance
Upon project completion and final payment, the ownership and usage rights for the website design, code, and content will be transferred to you. Be aware that any third-party assets, components or plug-ins used in the project may be subject to specific restrictions or recurring license payments. We will notify you of any known licensing requirements and we’ll discuss we will discuss them with you.
10. Termination & Cancellation Policy
While we strive to maintain a positive and productive working relationship, we understand that unforeseen circumstances may arise. Clients may terminate a website development agreement, at any time by providing a written notice via email or certified mail, to the BrewedFresh Media contact named in the website development agreement. BrewedFresh Media may cancel an agreement in the same manner, if necessary. In the event a website development service agreement is cancelled, by either party, BrewedFresh Media shall issue a final invoice for any billable time or materials beyond the initial deposit. Our goal is to ensure a fair and transparent resolution for both parties, in the event of early termination or cancellation.
